WORKING WITH THE TEMPLATES.
Double click on the MS Excel workbook to open and enter the password: JAMES
Complete the data entry for each row/column by selecting from DropDown list and typing the desired values.
At the class and exams score data entry for each subject, you will feel the magic of Ms Excel automations.
Class and exams score will be summed up, grade written, remarks written, ranking available and position in subject indicated. Total score, grade and remarks are computed based on the criteria on the report sheet.
However, the ranking and position in subject are computed with reference to which score did a student use to topple the class. In this perspective, a student can use just 65% total score to take the first position in a particular subject. The "position" or position in class is based on the largest raw score.
Class teachers and headmaster's remarks as well as other fields will all be computed perfectly for you based on the formulas I have written and test for this project. Just enter your values.
If a column is not applicable to you with reference to the header leave it blank.
After entering all the necessary data into the Excel workbook, now double click the MS Word file to open. If a pop up menu asks to run SQL; "Structured Query Language" command click "No". Now the report sheet is opened. While the Ms Excel worksheet filled with analyzed data is still opened and visible without any pop up notification covering the worksheet, locate MAILINGS tab on the report sheet of Microsoft Word and proceed to click on Select recipients then Use and existing list form the DowpDown. Now the File Picker dialogue box opens, locate and select the Microsoft Excel workbook containing the filled worksheet visibly open on your hard drive and click open. Good job, now all the records you enter for each students has been transferred to the report sheets. However, the text looks scattered with some angle brackets. Now, on the MS Word Window of the report sheet, locate Preview Results and click on it.
Wow! The values are now clearly visible.
Don't insert passport picture now, if you do that picture will appear on all students' report sheet.
But rather, navigate and locate Finish and Merge on the MS Word window and click on it, select the first option from the pop list "Edit individual document" and select the radio button with the option "FROM" and enter 1 into the text field and the class enrollment into the "TO" textfield and click on OK.
Wait for a moment. Hurrayyyyy, all the individual report sheets have been generated. Now, insert the passport pictures and for each student.
Beautiful and simple, isn't it ?
Now, Click on file Save As, and select PDF as the save as type or extension and click on save.
OMG! The report sheets are ready for send/printing.
You can use the send mail option and the RocketSend.io extension in Ms Word to send bulk individual report sheets to patents. Provided to enter their details in the Ms Excel.
