The AI was not the problem. The trigger was.

Over the weekend a founder reached out. Her e-commerce system was misfiring and she could not pinpoint where.

Abandoned cart messages were going out to customers who had already paid.

Support was getting flooded with WhatsApp replies that had no payment context attached.

The CRM was creating duplicate contacts and the classifier was making decisions based on irrelevant information.

Every symptom pointed in a different direction. The root cause was one line upstream.

The flow was listening to the wrong event. Checkout submit instead of order paid. That single choice meant the system could not tell the difference between a completed purchase and an abandoned one. Everything built on top of that assumption inherited the same flaw.

The fix was simple.

• The trigger was swapped.
• The flow now checks payment status before it does anything else.
• Cart recovery only fires when payment is genuinely missing and the session matches.
• Support messages route to a human only when the classifier is confident it is dealing with a refund or dispute.

Noise dropped. Conversations started matching real orders.

One trigger. Everything downstream changed.

Nobody knew who owned the lead.

A voicemail sat unread. Follow-up dates were written as comments in a spreadsheet.

Every week the same question hit the team channel: who is supposed to chase this one?

The answer was never clear because the sheet could not give it. Ownership lived in a column. Reminders lived in someone's memory.

A flow was drawn and the system started following it. Reminders fired when customers acted. Assignments went out without anyone initiating them.

More content, more sends, more activity. Every metric that was easy to measure was moving in the right direction. The one that mattered wasn't.

Behavior signals and content views were being treated as the same thing. High-intent leads were scoring the same as casual browsers and routing into the same bulk sequence.

The inbox was filling faster than the team could check it. First response time was the only thing that decided whether a conversation stayed alive or died in the thread.

Different channels, different names, same messages. WhatsApp, DMs, Slack threads all running in parallel with no shared context between them.

A review dashboard was set up to pull incoming messages into one place. Drafts generated automatically with conversation history attached. The team approved before anything sent. As confidence grew, the reins loosened.
