NEW YEAR'S RESOLUTIONS

From losing weight to saving more money, New Year's resolutions are a longtime tradition. . . even for festival and fair professionals.

Here are ten New Year's resolutions specifically tailored to make your event better:

1. Expand Networking Opportunities: Commit to attending at least three industry conferences, workshops, or networking events throughout the year to connect with fellow professionals, vendors, and potential sponsors. Check out the Texas Festivals & Events Association and the Texas Association of Fairs and Events.

2. Enhance Your Sustainability Practices: Develop and implement a sustainability plan for festivals, focusing on reducing waste, promoting recycling, and sourcing local materials and food vendors.

3. Improve Attendee Experience: Gather feedback from past events and create doable plans to enhance the overall attendee experience, such as better signage, improved accessibility, and upgraded amenities.

4. Stay Updated on Industry Trends: Dedicate regular time to research and stay informed about the latest trends in festival and fair planning, technology, and entertainment to keep events fresh and engaging. Check out the "Festival Soup" podcast on major platforms and at YouTube.

5. Invest in Professional Development: Enroll in courses or certifications related to event planning, marketing, or public safety to enhance skills and knowledge in the field. The Texas Event Management Institute (TEMI) offered through TFEA is a great start.

6. Strengthen Your Community Engagement: Forge partnerships with local businesses, artists, musicians and organizations to create a more community-oriented festival experience, including local talent showcases and vendor opportunities.

7. Focus on Diversity and Inclusion: Set goals to ensure that festivals represent diverse voices and cultures when appropriate.

8. Enhance Marketing Strategies: Consider revamping your marketing efforts by incorporating new platforms and strategies, such as social media campaigns, influencer partnerships, and targeted advertising, to reach a wider audience.

9. Improve Safety and Security Measures: The world is not what it used to be. Review and update safety protocols and emergency response plans based on lessons learned from past festivals and current issues worldwide, ensuring that all staff are well-trained and prepared.

10. Foster Work-Life Balance: Prioritize personal well-being by setting boundaries, delegating tasks, and scheduling downtime during festival planning periods to prevent burnout and maintain enthusiasm for the work.

These resolutions are a good starting point to help festival professionals grow both personally and professionally, leading to a more successful event.

PITFALLS TO AVOID WHEN PLANNING A SUCCESSFUL FESTIVAL

Planning a festival or fair can be complicated. The details can be overwhelming. Avoiding key elements such as those listed below will help to put you on the path to a successful event and save you a lot of sleepless nights.

1. Poor Budget Management
Issue: Failing to create a detailed budget or overspending on certain aspects can lead to financial troubles.
Solution: Develop a comprehensive budget, allocate funds wisely, and include contingency plans for unexpected expenses.

2. Lack of a Clear Vision or Theme
Issue: Without a defined purpose or theme, the festival may lack coherence, confusing attendees and stakeholders.
Solution: Establish a clear vision and theme to guide all planning and marketing efforts.

3. Inadequate Planning and Organization
Issue: Failing to outline roles, responsibilities, and timelines can lead to chaos during ex*****on.
Solution: Create a detailed project plan with milestones, assign tasks, and regularly track progress.

4. Ignoring Target Audience Needs
Issue: Planning without understanding your audience can result in poor attendance and engagement.
Solution: Conduct audience research to tailor the event’s content, pricing, and activities.

5. Poor Venue Selection
Issue: Choosing an unsuitable location can result in logistical issues, overcrowding, or accessibility problems.
Solution: Evaluate venues based on location, capacity, accessibility, and facilities.

6. Inadequate Marketing and Promotion
Issue: Underestimating the importance of marketing can lead to low awareness and attendance.
Solution: Develop a robust marketing plan using social media, local media, influencers, community engagement and partnerships to maximize reach.

7. Insufficient Staffing and Volunteer Coordination
Issue: Having too few staff or poorly coordinated teams can cause operational breakdowns and a low level of guest satisfaction.
Solution: Recruit and train enough staff and volunteers, and assign clear roles with backup plans.

8. Failure to Secure Permits and Licenses
Issue: Overlooking legal requirements can result in fines, cancellations, or lawsuits.
Solution: Research and secure all necessary permits, licenses, and insurance well in advance.

9. Overlooking Safety and Emergency Preparedness
Issue: Inadequate safety measures or a lack of emergency plans can jeopardize attendee wellbeing.
Solution: Develop a comprehensive safety plan, including crowd control, medical support, and emergency response procedures.

10. Ignoring Post-Event Evaluation
Issue: Failing to assess the festival’s success can result in repeated mistakes in the future.
Solution: Collect feedback from attendees, staff, and stakeholders to identify areas for improvement.

Avoiding these mistakes through detailed planning, collaboration, and adaptability will greatly enhance the success of your festival.
