Before You Delegate, Document.
Document → Train → Delegate → Review
Most service business CEOs try to skip straight to delegation and then wonder why tasks bounce back half-done or go missing altogether. The truth? Delegation without documentation isn’t leadership. It’s avoidance.
If you don’t take time to teach tasks correctly the first time, you’ll end up doing it again… and again. Real delegation follows a formula:
Document → Train → Delegate → Review and it starts with you.
Here’s what that looks like in practice:
✅Pick one recurring task your team does often. Record a Loom video showing exactly how you would do the task, with a voiceover.
✅Write out 3–5 clear steps: tools used, where to find info, what “done right” looks like. Keep it simple, just enough to guide someone else.
✅Store it in your SOP folder (Google Drive, Notion or ClickUp), and label it so it’s easy to find later.
✅That’s when you hand it off. Assign the task to a specific owner. Set a follow-up checkpoint. And track the outcome, not just the activity.
Delegation isn’t about dumping tasks, it’s about building systems people can run without you. Do it right, and your business keeps moving even when you're out of the picture.
