It was a system issue. I didn’t have one that worked with my brain. Time-blocking helped me stop internalizing the chaos and start building real capacity.

Before I started time-blocking, I felt like time was always running me. My calendar was full, but my brain was scattered.

Now? There’s space for what matters — even if it doesn’t all get done. My week has a rhythm. My time has a voice.

🌑🌕 Your energy is not linear.

We live in a world that expects constant output — same pace, every day, all year. But nature doesn’t work like that. And neither do we.

Some weeks, I’m creative and energized. Other times, I’m slower, inward, or in need of more rest. These aren’t productivity “slumps.” They’re natural cycles — hormonal, seasonal, emotional — and they deserve space on our calendars. 🌱

Time-blocking helps me honor those shifts — not fight them. I plan heavier projects during high-energy phases, and leave more buffer during slower ones. It’s not about doing less — it’s about aligning with what’s real.

One of the most radical things I do as a business owner? I block time for rest.

📅 Fridays after 2pm = no meetings
☕ Midweek = buffer blocks and slow starts
🌿 Quarterly = one full week off, on purpose

Rest isn’t what’s leftover. It’s part of the plan.

One thing that’s helped me a lot with time-blocking? Themed days.

✨ Admin Mondays — inbox, invoicing, file cleanup
🎨 Creative Fridays — writing, big-picture planning, content ideas
💛 Restorative Wednesdays — slower mornings, buffer time, calls only if I want

Giving each day a general purpose helps me reduce decision fatigue and group similar tasks together — which is especially helpful when my energy is lower or my executive functioning needs extra support.

You don’t need a rigid system. Just a rhythm that fits you.

Every Monday, I block out “Flex Time.” Some weeks, I use it to write a blog post. Other weeks, it’s recovery from a tough day or unexpected change, or it’s catch up time for client projects so I feel prepared for the week ahead. Having space already set aside lets me shift without the guilt spiral.

Time-blocking doesn’t have to be strict. It can hold space for the very real ways your energy, focus, and capacity shift week to week.

Time-blocking is powerful — but only if it leaves room to breathe. 🌬️

I make sure there’s buffer time between meetings, work blocks, and even transitions between tasks. Because if I fill my whole day, I will end up overworking when something unexpected comes up — and let’s be real, it always does. 🌀

Here’s how I do it with long-term clients:
🧩 5 hours/week total might look like:
– 3-hour focused time block
– 1-hour meeting
– 1 hour unscheduled — for check-ins, last-minute asks, or a little extra breathing room

Seeing that flex time on my calendar helps me stay grounded, not overwhelmed. Try it — your future self will thank you.
