Just a little input to last night's meeting from us. We recommended that there be an insurance requirement to the RFP for any maintenance contracts.

Also, previous hiring practice of the bookkeeper was actually illegal and brings possible misdemeanor charges for violating required practice. We called out that they need to do an RFP for this position and the Chief must be included in the process.

We're glad this board is actually following the law and input from those of us who have been studying the bylaws and required administrative rules and regulations.

Our hearts are saddened by the loss of longtime community member and former Yamhill Fire Protection District Board member, Jon Peasley.
Jon was a proud resident of Yamhill for many years and dedicated countless volunteer hours to serving our community. As a member of the Yamhill Fire Protection District Board of Directors, he worked tirelessly to ensure decisions were made with honesty, integrity, and transparency. He believed in doing what was right and never hesitated to stand up for the best interests of the community he loved.
Jon's legacy extends far beyond his years of public service. Whether he was farming, helping a neighbor, serving on the fire board, or simply being a trusted friend, he was someone you could always count on. If there was an emergency or someone in need, Jon was often among the first to step forward and lend a hand without hesitation.
His dedication to Yamhill and the people who call it home leaves a lasting impact that will not be forgotten. We are grateful for his years of service, his unwavering character, and the example he set through a life of kindness and selfless giving.
Our thoughts and heartfelt condolences are with Jon's family, friends, and everyone whose lives he touched. May they find comfort in the many memories they shared and in knowing that Jon's contributions to our community will continue to be remembered for years to come.
Rest in peace, Jon. Thank you for your service, your friendship, and your enduring commitment to the Yamhill community. You will be deeply missed.

Last year it was discovered that many of the certifications for the volunteers were expired or not up to date in the FIRE IRIS system and called attention to it during multiple board meetings. So we thought we'd do some accountability checking on the volunteers. This information is open to the public and it's encouraged to make sure our community is adequately protected. Here's the link:

This spreadsheet was shared at the last Board meeting. The yellow highlighted areas show when the volunteer didn't respond during the month. We have some serious concerns about some of the volunteers listed, the accuracy in reporting and the reported "calls" responded to, especially during the month of December. According to policy, all volunteers are required to have valid drivers licenses, so at least one volunteer should not be responding to calls AT ALL.

We've requested the information for how many calls weren't responded to at all by the department and hope to have this information after next month's meeting.

June's Board meeting recording. I'm a bit concerned Brittany used the credit card, when Board policy is clear on who can use them and when. You'll have to watch to the portion where the Board gives additional statements, about 20 minutes before the end of the meeting.

Message from the Yamhill Fire Protection District Board of Directors
July 13, 2026 - The Yamhill Fire Protection District Board of Directors would like to inform our community that the Flying M Substation has officially been dissolved following action taken at the June Board meeting. Equipment will be removed on August 1st, 2026.
The future of the substation had been under discussion for several months. During the May Board meeting, Directors voted to table the discussion while additional information was gathered and operational needs were reviewed. Following that review, the Board voted at its June meeting to officially dissolve the substation.
This decision was not made lightly. Over the past several years, the substation has faced significant challenges, including the financial impact of replacing two tent structures that collapsed due to severe weather. In addition, volunteer participation and response from the substation have remained limited, making it increasingly difficult to justify the continued investment of District resources at that location.
As part of the Board's responsibility to ensure the most effective use of taxpayer resources, operational trends were also considered. Several District vehicles currently see little to no regular use, and response models have evolved. The District is seeing fewer single-person responses, which is a positive trend for both firefighter safety and patient care.

The District has also transitioned to utilizing brush rigs and fire engines for many medical calls instead of Car 4. Responding with a staffed fire apparatus rather than a single SUV provides additional personnel, equipment, and capabilities, allowing firefighters to better serve patients and the community.

The Board remains committed to providing the highest level of service possible while responsibly managing District resources. Equipment and assets associated with the Flying M Substation will be evaluated and reassigned where they can best support emergency response throughout the District.

The Board would also like to extend its sincere appreciation to the Mitchell and Reber families for their generosity and support throughout the years the Flying M Substation was in operation. Their willingness to provide the use of their property played an important role in helping the District serve that area, and we are grateful for their partnership and commitment to our community.

Finally, we thank the volunteers who dedicated their time and service to the Flying M Substation over the years. Your commitment to protecting our community has been greatly appreciated and will always be recognized.
