The hardest part of catching up on your books is usually the phone call.

Most business owners we speak to have been putting it off for months. They expect a lecture. They get a scope, a fixed price, and a date by which everything will be current.

That is the whole process. Catch up once, then stay current with a monthly retainer.

Most owners think the job is done when the invoice is sent.

Sending gets you paid. Recording is what tells you who still owes you and what you actually earned.

What we see constantly:

The invoice gets typed in Word, or raised or on an app. It does the job it was built for, which is collecting.

Nothing carries it into the books. Income ends up reported off the bank statement, which is a different number to what you actually invoiced.

Then the follow-up nobody wants to write. Asking to be paid for work you already delivered makes you uneasy.

The fix is less admin, not more. An invoice raised in one place is recorded the moment it goes out, lands on a list of who owes you what, and then chases itself. The reminders send themselves, so you never write that message again.

7 August: EMP201 for your July payroll.
31 August: VAT201 and payment, if your VAT period ended 31 July.
31 August: first provisional tax, if you have a February year end.

Easiest way through August is a set of July books that are already closed.

Sending your bookkeeper a WhatsApp photo of every slip feels organised. The problem is what happens next: someone still has to retype each one, usually weeks later in a monthly catch-up.

That lag is the real cost. Your accounts run a few weeks behind reality, so a cash squeeze shows up in the numbers after the decisions that mattered have already been made.

With automated capture and bank feeds, the same photo goes into the system instead of a chat, and the books stay close to current. Same information, weeks earlier, while you can still act on it.

Sole proprietor or Pty Ltd? It is one of the first questions new business owners ask us, and the honest answer is that it depends on your numbers.

A company protects your personal assets and pays a flat 27% tax, but it brings more admin and its own filings. A sole prop is simpler to run, but business debts are your debts and profits are taxed at personal rates of up to 45%.

There is a crossover point where switching starts paying for itself. If you are not sure which side of it you are on, that is a conversation worth having.
