WHO WE ARE LOOKING FOR

Pure Realism is currently recruiting for an Office Manager/ Administrative Assistant for our Sudbury, ON office. The position performs a variety of office tasks to support office operations and assist our executive management team as needed. The ideal candidate will be competent in prioritizing and working with little supervision, they will be self-motivated and trustworthy.

JOB DESCRIPTION

Oversee the overall daily operations of the office secure efficiency and compliance to company policies

Provides key status updates and collaborate with the executive management team as needed

Actively participates in meetings and document and summarize meeting minutes

Develops and maintains meaningful relationships with employees and functions as an authoritative and engaging presence in the office

Maintain and revise policy handbooks and manuals and other documents as required

Assist with HR functions including employee records, vacation and time-off requests and assisting in the overall HR function with the management team

Help with costing duties, time tracking jobs etc…
Manage agendas/travel arrangements/appointments etc. for the management team.

Manage phone calls and correspondence (e-mail, letters, packages etc.)
Support budgeting and bookkeeping functions

Create and update records and databases with personnel, financial and other data
Track stocks of office supplies and place orders when necessary

Submit timely reports and prepare presentations/proposals as assigned

Assist colleagues whenever necessary

REQUIREMENTS

2-3 years of administrative/office experience

Strong, hands-on knowledge of Excel, Word, Outlook

Familiarity with office management procedures

Ability to handle sensitive information with discretion

Positive and winning attitude, with great interpersonal abilities

Strong administrative and organizational skills

Excellent written and verbal communication skills

Ability to multi-task, prioritize projects and predict needs of the organization

Happy to jump in wherever needed – even with the less glamorous jobs

Effective problem solving and decision-making abilities

Experience or knowledge of payroll and accounts receivable would be a strong asset
