๐งพ 1. Assistant (Document Control Assistant)
Core Focus: Foundational Support
Description:
The Assistant performs basic yet crucial tasks that form the backbone of document control operations. Responsibilities include:
Archiving physical and digital files.
Applying numbering systems based on established templates.
Uploading documents into the Document Management System (DMS).
Updating document logs and trackers to ensure status visibility.
This role requires attention to detail and a good understanding of filing systems.

Core Focus: Processing and System Management
Description:
This role handles more advanced tasks in the documentation lifecycle:
Managing and routing documents for internal and external approvals.
Using DMS platforms (like Aconex, Procore, or SharePoint) to manage documents efficiently.
Processing incoming and outgoing transmittals and maintaining records of correspondence.
The junior DC must have strong communication skills and basic technical knowledge of DMS tools.

Core Focus: Coordination and Compliance
Description:
The Document Controller is the central point for organizing and maintaining documents across projects or departments:
Ensures proper classification, naming, and storage of documents.
Coordinates between departments to track document status and revisions.
Maintains compliance with project or company standards (e.g., ISO, client-specific).
Experience with project workflows and document lifecycle is essential.

Core Focus: Oversight and Mentorship
Description:
This senior-level role guides junior team members and handles high-level document control activities:
Reviews and approves the work of junior document controllers.
Oversees documentation for complex projects or high-volume environments.
Acts as a liaison between engineering, construction, QA/QC, and other teams.

Description:
The Lead or Supervisor role focuses on people and process management:
Leads a team of document controllers to ensure tasks are completed on time.
Allocates workloads and provides technical guidance.

Troubleshoots DMS issues and supports system upgrades or changes.
Leadership skills and project management awareness are important at this level.

Core Focus: Strategic Oversight & Policy
Description:
The most senior position, responsible for all aspects of document control across projects or the organization:
Develops and enforces document control policies, standards, and best practices.
Leads document control strategies, audits, and compliance programs (e.g., ISO 9001).
Manages stakeholder relationships and oversees DMS implementations or transitions.
Provides high-level reporting to executive or project management.
This role requires both technical expertise and business acumen.
