ATTENTION EVENT PLANNERS/OPEN POSITION:
Project / Event Coordinator
Independent Contractor (IC) – Remote Position
SUMMARY
This is a remote position except for event related travel. Under indirect supervision manages multiple meetings, conferences, live and virtual for a prominent existing client. Serves as client liaison (often with senior management) and directs work teams of internal and external stakeholders. Consults on meeting design, assesses program goals, logistics, and catering requirements, and negotiates and administers vendor contracts. Maintain project plans, recommends, and manages creative elements/talent and event technology. If live/hybrid event - typically on-site during the meetings/events from start to finish.

JOB RESPONSIBILITIES
■ Develop and manage detailed program budgets, timelines and tracking information for program. Follow client branding, policies, and procedures to ensure compliance and continuity of all programs.
■ Manage complex virtual and live meeting and event elements including but not limited to site selection, invitations, registration, food and beverage, audio visual, ground transportation, speakers and talent.
■ Exercise cost control, perform billing reconciliation, program evaluations and follow-up with minimal direction.
■ Brainstorm and recommend creative elements/talent and event technology to support client’s goals.
■ Provide onsite management and supervise any onsite suppliers and volunteers.
■ Help control risks associated with attrition and cancellation and aggregate spend by advising management and clients as needed.
■ Performs miscellaneous job-related duties as assigned.
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED
■ 3-5 years of experience in event planning/management (i.e., corporate events, conferences, tradeshows) and vendor management (i.e., selection process, negotiations, understanding of contracts, conflict resolution).
■ Ability to develop, plan, and implement short- and long-range goals
■ Demonstrated experience working effectively and seeking solutions under pressure while remaining flexible and friendly.
■ Ability to remain focused and professional during unanticipated event challenges.
■ Excellent organizational, administrative, project management, and time management skills with the ability to prioritize tasks under tight timeframes; ability to carry out multiple responsibilities with minimal supervision.
■ Punctual, dependable, attentive to details, and dedicated to achieving operational excellence through events that exceed client and attendees’ expectations.
■ Strong written and verbal communication skills with the ability to articulate clear, concise information to a variety of internal/external stakeholders, vendors, etc. Ability to consult and negotiate effectively.
■ Outstanding interpersonal skills and the ability to create lasting partnerships with stakeholders, colleagues and vendors.
■ Proficiency with the Microsoft Office and Google suite.
■ Ability to travel, sometimes on short notice.
■ Per client: Must be fully vaccinated prior to any on-site events or site visits. An individual is considered “fully vaccinated” against COVID-19 fourteen (14) days after a second dose in a two-dose series (i.e., Pfizer or Moderna vaccines) or two (2) weeks after a single-dose vaccine (i.e., Johnson & Johnson’s vaccine).
■ Working an average of (20) hours per week, ideally monitoring client communications between 1-4 PT/4-7pm ET consistently.
■ Experience and working knowledge of Zoom Meeting and Zoom Webinar.
KNOWLEDGE, SKILLS, AND ABILITIES PREFERRED
■ Experience and working knowledge of virtual event technology platforms (i.e., Aventri, Splash).
■ VEMM certification.
■ Bachelor’s Degree (major or concentration in event, hospitality or commercial recreation management, public relations or marketing preferred, but not required).
WORKING CONDITIONS AND PHYSICAL EFFORT
■ Work performed in your professional virtual work environment.
■ On site during an event, physical activity can be more strenuous (unpacking and moving boxes) and standing for long periods of time.
LOCATION & TRAVEL
■ Remote based position.
■ Travel is required for site visits and client events.

■ Compensation will be commensurate with experience
