Tales of the Cocktail Foundation (TOTCF) is looking for a highly organized, detail-oriented Partnerships Administrative Manager to support our Partnerships team and ensure the smooth ex*****on of our partner engagement, sales operations, and administrative processes.

This position is fully remote with quarterly travel to in-person meetings, as well as participation in Tales of the Cocktail events as assigned.

Key Responsibilities
- Communicate directly with partners via phone, email, and in-person interactions
- Maintain donor databases, sales pipelines, and partner information
- Process Shopify and offline sales orders; manage product inventory
- Assist in drafting contracts, invoices, and proposals (PandaDocs)
- Facilitate cross-department updates and ensure partner needs are communicated clearly
- Support sponsor resources: dashboards, FAQs, forms, newsletters, and reminders
- Conduct research on prospects and maintain client lists and giving histories
- Assist Accounting with accurate invoicing
- Support onsite and virtual needs during TOTCF events
- Monitor and manage the [email protected] inbox
- Jump in where needed to support departmental projects and initiatives
Skills & Experience
- Bachelorâs degree or equivalent work experience
- Strong proficiency with Google Drive & Microsoft Office
- Experience with Airtable, HubSpot, Shopify, PandaDocs, or Canva (or excited to learn!)
- Excellent communication skillsâboth written and verbal
- Outstanding organization, time management, and attention to detail
- Ability to multitask in a high-energy, fast-paced environment
