I was helping a customer today with an audio cassette from his Aunt Sally. It was recorded in the 80's by one of his cousins. He is planning to find some photos or even film from his archive of media and create a mini family documentary as Aunt Sally shares her stories.

My Why #2:

Just because you won’t mail your media, doesn't mean your transfer company won’t mail it for you. There are large companies that have transfer services as part of their company, but do they do them in house or locally? Most of them don’t! So how do they get these videos or film transferred? They ship them across the country and even overseas for the transfer to digital media.

My mentor shared a story about a certain big box company and one of his customers video transfers service. This customer went to the big box store and had them transfer all of their old media over to DVD. It took several months for them to get it back, but what they got back was not their home movies. They were aghast by this, but as any reasonable person was they went back to the company and asked for their correct media. As the customer service representative tried to work with them, she asked, “How do you know it isn’t your video?” the answer was simple, “We aren’t Chinese!” This couple’s complete family video library was lost somewhere and never recovered. This big box company’s system was to place all of these old VHS, and film into a large container and ship it to China for transfer and then ship it back. The sad part of this story is that there are two families that have lost their home movies and not just one.

My personal suggestion is to use a credible video, audio, and photo digitizing service that is local to you. It may be cheaper to send it to an internet company that transfers old media, but what is the risk? There are plenty of local services that do a great job at digitizing media. Our system is simple. We use quality Panasonic VHS players that send the video to a computer. We record that video minute by minute and hour by hour. Once the entire tape has been recorded to the computer we convert it into a simple usable format for our customers including DVD and MP4 formats. We always encourage our customers to get a backup of their media either on DVD or USB so that their media can be shared. We know that the more a video file is shared the longer it will be preserved for future generations.

Why would I never mail my personal media ever? Because my home movies are so personally valuable that I am not willing to risk losing them. My father passed away over twenty years ago. I will never see his face again in this lifetime, but because of my old videos of him, my children will always have a relationship with their grandfather.

My Why #1:

Each home made video, audio, film, or photo are usually a one of a kind. It’s like “duh” doesn’t everyone know that! Many people do but they don’t think about the uniqueness or rarity of a master video. Those images, sounds, events that are on that media can never be replaced.

I was watching the movie “Castaway” with Tom Hanks. Tom plays an employee of FedEx that is flying over the South Pacific. His flight is caught in a storm and the airplane crashes into the ocean. He gets to a deserted island and starts to itemize his supplies for survival. Among his supplies he finds a VHS tape. During his course of trying to stay alive as a castaway he destroys the tape and uses it as rope to tie his raft together. I applaud him for his Boy Scout skills, but was that VHS tape my son’s first steps, or my grandmother’s last dying wishes, or my wedding video that has mom in it before she died?

You can understand how devastating it would be to lose such a valuable piece of my history. We all know that FedEx, UPS, and USPS drivers are not perfect and that packages are lost in traffic accidents, or truck fires, or just lost in the mail. It isn’t such a bad thing when it is your iPhone, or a TV from Amazon, because those can be replaced. But when it is your one of a kind, master / only copy of your child’s birth, or your parents wedding video, or grandpa’s reel to reel tapes that he sent home from Korea, those are irreplaceable. And there is no amount of money that can replace them.

If you insure your package with UPS, FedEx and the USPS the only insurance you receive is for the specific dollar amount of the insurance. There is no insurance that can turn back time so you can have your babies first steps, or your wedding day again. Many home movies are once in a lifetime events. There was never a second take and rarely a second chance to repeat that event.

Every video transfers service in the world doesn’t guarantee that your media will arrive safely to their office, nor to your home when they send it back. What they do guarantee is to replace the media that your home movie was on. So if the mail service loses the VHS tape of your wedding, the only guarantee is that the transfer company will pay you the price of your VHS tape which is about $2.

Have I made it clear why I will never send my or your personal media in the mail. I hope so. But there is another area of this that concerns me even more.

Have you ever seen the movie “Castaway”?

I will never send my personal media in the mail via USPS, UPS or FedEx, EVER! Why? I used to work for UPS back in the “just out of high school days”. I was a truck loader and unloader. I worked the graveyard shift and was quite good at what I did. My job was to create walls of boxes that were tightly fit so that it wouldn’t fall and stuff as many packages as I could behind said wall. I would build these walls and do my best to get every piece of mail in the truck. I don’t know how many of those trucks and packages actually got to their intended destination but I assume most did. I also know that there were some that didn’t.

I have been in the video production and editing industry for almost 20 years and there are a few things that I have learned that many people not in my industry don’t think about. That would be the value that each piece of media has. When we record video for our clients we create backups of backups of backups. I learned this lesson the hard way. I was recording a once in a lifetime event called “Redlands my Redlands” here in Redlands, Ca. It was in celebration of the 200 year anniversary of the city. I had prepared everything and setup as planned. I hit record and went for it. But it turned out that my process had a flaw that I didn’t know about. And that night was one of the worst in my lifetime. I had recorded nothing. Yes, I said “NOTHING”. This group was never going to do this performance ever again. Did I feel like a heel? Absolutely! I never work without a backup anymore, and when you have a master copy and no backup such as your wedding tape, and for some reason it gets lost, damaged, or utterly destroyed, you will be left with nothing.

So here are a few things I wanted to share with you to help you know why I will never send my or anyone else's personal media in the mail, unless specifically requested.
