How can you think about this in terms of your event? 🤔 Share and save this!

✔️ First, keep sight of your event objectives to ensure you aren’t adding experiences to your event that don’t align with your overall goals. It helps make decisions simple and the most impactful.

✔️Personalizing the event for attendees is a simple way to make a big difference. Things like a handwritten note welcoming them to the event, personalizing promo items with their name, sending a welcome room drop customized with their favorite items, going out of your way to welcome them by name and knowing something about their business.

✔️ Avoid getting too creative with names of activities, programs, sessions etc. in which it actually causes more confusion than calling it what it is. Attendees appreciate simplicity so they know what they are attending and doing.

✔️ Think about how you can switch up experiences to something unexpected. You always go to a registration desk when you check-in for an event. What if you create a lounge environment and check people in on mobile devices. Add a welcome drink 🍹 It feels more inviting. It is simple, but significant 😊

Want to save money on food and beverage for your event? Here are a few tips for your next event. ☺️

💵Review menus before you book an event venue to ensure they align with your budget.

💵Negotate a lower F & B minimum.

💵Ensure the contract for the event states the current menu year.

💵Avoid late surcharges by confirming F & B in time.

💵Make sure you are asking attendees which meals/receptions they are attending so you know if you have to count them.

💵Order snacks on a consumption basis.

💵Have water stations in the room instead of water bottles.

💵Signature cocktails are super fun but can be super expensive.

💵 Include various dietary requirements in your overall menu.

💵Leverage breakfast for morning snacks (if the venue allows)

💵Consider coffee service during registration or a morning break vs. all day.

💵Think about going low on your F&B guarantees. (Not too low)

💵Drink tickets (not a fan in many cases but definitely helps with the budget and makes sense for certain events)

💵Don’t announce last call.

Love the for Christmas and as a venue for events! ❤️

Here are a few important discussions to have with venues you are considering for your event:

✔️ How many people can fit in the seating arrangement you prefer such as rounds, classroom, theatre etc. Don’t forget to include staging, coffee stations, buffets, vendor tables and any other set-up in the room you are planning to ensure you have enough space. The venue will do a floor plan for you.

✔️ If you need extra days to set-up or tear-down, make sure this is outlined.

✔️ Do you prefer to host the meals in a seperate room? If so, check availability of extra space.

✔️ Is there a meeting room rental fee? There likely will be, negotiate getting it waived, especially if you have contracted sleeping rooms.

✔️ What is the food and beverage minimum that you have to spend? You will need to use it, or you will lose it.

✔️ How many hotel rooms do you need? If you contract a block of rooms, you will be responsible to pay for them if they do not fill, minus the attrition they allow you, so be careful what you commit to. There is also an option with some hotels for a small courtesy block in which you can release unfilled rooms by a certain date.

✔️ Ask what other events are taking place during your event so you know who will be in the venue with you.

✔️ Ask if they have complimentary centerpieces or decor you can leverage to save on your budget.

✔️ Ensure EVERYTHING is in the contract to make sure you get what you discussed.

How can you create more engaging content for your event? 🙌

Save this post for your next event!

✔️ Get creative with the format. You don’t always need to have the traditional break out room with a presenter. Switch it up with 1:1 meet the experts, small group discussions, interview formats, panels etc.

✔️ Ensure you watch a video or see a presenter live so you are aware of their presentation style and skills before you hire them.

✔️Ask attendees during registration what the most important topics are that would help them and curate content around common themes.

✔️ Include a Q & A session at the end of the event to ensure there is an opportunity for outstanding questions to be addressed.

✔️ Less PPT slides and more conversation. If you have a PPT, good visuals are important.

✔️ Discuss the goal and outline of the speaker’s presentation with them so there aren’t any surprises on-site. It’s beneficial to do a run through of the presentation together.
