Receives potential and existing clients at the front desk by greeting, welcoming, directing and announcing them courteously and appropriately. Answers, screens, and routes incoming phone calls plus other general office support duties.
JOB RESPONSIBILITIES:
Greets guests and clients and offers assistance when entering the building.
Notifies staff members when appointments arrive and escorts guests and clients to appropriate conference room.
Answers routine questions associated with client’s case, accepts client’s Payment, provides location and directions to and from court, etc.
Immediately notifies and involves management with customer service, client, and court staff issues.
Answers, screens, and routes incoming calls to appropriate staff and attorney or takes messages and inputs in communication in client portal.
Maintains a comfortable environment for clients, providing beverages and other amenities for clients as needed. May make coffee.
Maintains guest-waiting area, disposing of trash, checks mail and scans it into client portal, and general straightening of furniture.
Receives incoming mail and packages.
Maintains organized and current electronic and paper files and records, such as new client intakes and creates new client files, as well as files all pleadings etc.
May perform light typing, proofreading, data entry or printing, and cover letters for mailings.
MINIMUM REQUIREMENTS:
Education:
High School Diploma or GED equivalent
Experience:
Six months general office, receptionist, or administrative support experience preferred
Proficient at operating telephones, fax, and copier.
Knowledge, Skills and Abilities:
Working knowledge of MS Office Suite.
Clear and professional speaking voice and tone.
Professional interpersonal skills to handle sensitive and confidential situations.
Position continually requires demonstrated poise, tact and diplomacy.
Ability to work schedule and may include beyond standard business hours.
Language:
Bilingual in Spanish preferred.
English required.
Pay: $17-$20 per hour depending on experience.
