JOB VACANCY: Finance and Administration Clerk

Shashe Irrigation Scheme Trust is looking for a trustworthy, detail oriented and organised Finance and Administration Clerk ( FAC) to manage daily financial operations and provide essential administrative support to Shashe Irrigation Scheme Trust .Under the direct supervision of the Agronomist, the Finance and Administration Clerk will provide clerical administrative and financial support, ensuring efficient day to day of trust administration and finance operations. The FAC shall be responsible for handling of all SIST daily administration and financial tasks, processing invoices, payroll and maintaining a record of all financial documents. Under the technical guidance of the board member responsible for finance and administration, the FAC shall schedule Shashe Board of Trustees meetings, make travel and meeting arrangements for the board chairperson and other SIST board members, prepare agenda items and minutes, type correspondence as well as ensuring that the Trust financial and administrative operations run smoothly.
Key Duties and Responsibilities
Financial
• Prepare all SIST payments in accordance with the SIST Financial Policy.
• Process supplier invoices for payments and utility bills.
• Maintain accurate records of all trust income and expenditure
• Compile SIST payment request vouchers and file.
• Manage the payroll.
• Compile PAYE and NSSA returns.
• Compile and update all SIST cash books daily.
• Prepare SIST monthly bank reconciliation statements by the 5th day of each following month and share with the board of trustees.
• Maintain SIST Debtors and Creditors list.
• Prepare and present monthly, quarterly and annual income and expenditure statements
• Prepare SIST annual financial statements.
Administration
• Schedule board of trustees’ meetings, stakeholders’ meetings and other meetings convened by the board.
• Prepare agenda items and minutes for board of trustees’ meetings and any other meeting incidental to the running of SIST.
• Ensure that all reports and agenda items are distributed to board of trustees and other relevant stakeholders seven days before the date of the meeting.
• Manage the trust information system, i.e., incoming, outgoing mail, distribution of files and maintenance of files etc
• Process SIST staff salaries and issue staff payslips
• Prepare famers distribution list and process farmers payouts.
• Offer direct support to the Scheme Clerk to receipt and bank funds collected from the scheme.
• Conduct onsite monthly stock counts at the Shashe Trust main office.
Requirements
Qualification: Diploma or Degree in Accounting, Finance, Business Administration, or a related field.
Experience: At least two years of experience in a similar role.
Skills: Proficiency in MS Excel and accounting software (e.g., Pastel)
Attributes: High integrity, excellent communication skills, and the ability to work in a rural or agricultural setting.
